FAQ
Straight answers before the work begins.
Clear boundaries make automation projects easier to evaluate, scope, operate, and support.
What does Flow Forge AI automate?
We focus on repeatable business processes such as lead capture and qualification, CRM updates, onboarding, internal approvals, email and SMS workflows, data movement, reporting, payment-related handoffs, and other connected operations. The process must have a clear business owner and a responsible operating boundary.
How much does a project cost?
Automation Blueprints start at $1,500. Bounded implementations generally begin at $3,000, while larger workflow systems, AI pilots, and advanced operations have higher approved ranges. The Pricing page shows current starting points; discovery confirms the final quote.
How long does a project take?
Timing depends on scope, stakeholder availability, access, API quality, data readiness, testing, and risk. A focused Blueprint may take days, while broader implementations may take several weeks or be phased. The proposal states the delivery assumptions and target schedule.
What is n8n?
n8n is a workflow automation platform that can connect applications, APIs, databases, and custom logic. It is one implementation tool Flow Forge AI may use when it fits the operating, hosting, security, and support requirements.
Do you build AI agents?
Yes, when the use case can be bounded and evaluated. AI agents require defined permissions, budgets, test cases, human approval or fallback, monitoring, and a clear limit on what the agent may decide or change.
Can you integrate the software we already use?
Often, yes. Feasibility depends on available APIs, authentication, account permissions, rate limits, data quality, and vendor terms. Discovery verifies those constraints before the integration is promised.
Are software and vendor costs included?
Not automatically. Customers should own and pay for core vendor accounts wherever practical. Subscriptions, usage charges, messaging fees, AI usage, hosting, and other third-party costs may be billed separately and are identified in the scope.
What do managed automation plans include?
Managed plans provide a defined level of monitoring, maintenance, incident triage, reporting, and planned optimization for approved workflows. The exact workflows, response expectations, and capacity are stated in the agreement.
Do managed plans include unlimited new workflows?
No. Managed plans are bounded operating services. New workflows, major redesigns, new integrations, or material scope changes may require separate discovery and a separate quote.
How are revisions handled?
Each engagement defines factual review, design feedback, acceptance, and change-control boundaries. Corrections within the agreed scope are handled through that process; new outcomes or material scope changes are estimated separately.
What support is available after launch?
Implementation scopes include a defined stabilization period for defects. Ongoing monitoring, maintenance, optimization, and broader operational support are available through an appropriate managed automation plan.
Who owns the accounts, workflows, and deliverables?
Customers should own their production vendor accounts wherever practical. The final agreement defines ownership and licensing for workflows, custom code, documentation, third-party components, and reusable Flow Forge AI materials.
How do you approach security and customer data?
We use least-privilege access, separate environments, explicit data boundaries, secure secret handling, human review for consequential actions, and recovery planning appropriate to the risk. Sensitive data is not needed for initial qualification, and production data use requires an approved architecture and agreement.
What is an Automation Blueprint?
It is a paid discovery engagement that maps the current process, systems, exceptions, data, controls, success measures, and implementation options. The result is a decision package and roadmap rather than a vague workshop.
Can you handle custom or enterprise projects?
Yes, when the scope, governance, security, recovery, and operating responsibilities can be defined responsibly. Custom and enterprise implementation starts from $40,000, with managed operations from $8,000 per month; final scope requires discovery.
What happens when someone calls the Automated Receptionist and nobody answers?
They get a text within seconds from your business number, asking what they need. A short conversation follows and they pick from open appointment times. If it is an emergency or they ask for a person, we hand it to you. Emergencies should always go to 911, and the service does not monitor or respond to emergencies.
Is the Automated Receptionist an AI that talks to my customers?
No. It follows set rules and menus you approve. It does not improvise answers, and it does not answer or record phone calls. Anything outside those rules goes to a person.
Do I need a new phone number for the Automated Receptionist?
Usually a tracking number that your existing number forwards to when you do not answer. Your customers keep calling the number they know.
Can people opt out of the receptionist's texts?
Yes. Replying STOP ends texts from that number right away.
What do you need from me to start the Automated Receptionist?
A phone line we can forward, access to your calendar, your hours and services, and the business details needed to register your texting number with the carriers. We handle the setup.
Still evaluating the fit?
Share the process and the systems involved.
An initial conversation can determine whether a Blueprint, implementation, audit, or managed service is the most responsible next step.
